Setting up Email notifications

VisitorRego has the ability to send an email notification to the staff member with whom the visitor is here to see.

To utilise this feature, your VisitorRego unit will need to have a network/internet connection and the staff list populated with the email address of the staff member or members you wish to send the notification to.

To set up email notifications, f
rom VisitorRego's Admin mode, choose Options> System Setup> Messaging tab, then expand the Email section.



There are a number of ways email notifications can be setup, which are listed in sections below.

The Send Email checkbox must be ticked to send email regardless of whichever way email notifications are to be sent.



Using the VRF Mail server to send email notifications

Email notifications are sent using the VisitorRego Facilities mail server. Using VRF to send email makes the setup process simple.

1. Check the checkbox Use VRF Mail.
2. Close out of the System Setup window to hold the changes.

VRF Mail requires the VisitorRego unit to be able to communicate with the VRF server. If restrictions are in place on your VisitorRego unit, the following addresses will need to be added to the allow list:

data.visitorrego.com
photos.visitorrego.com
app.visitorrego.com
facilities.visitorrego.com

A wildcard may also be added as *.visitorrego.com

All connections between the web page and VRF server are via https (use TCP port 443).


Using your company's own SMTP server to send email notifications

Email notifications are sent using a specific SMTP server. To send email notifications using your company's SMTP server you will need to have the IP address of the VisitorRego unit added to the allow list of the server.

1. Enter the SMTP server address into the Email Server field (e.g. mail.alphabet.com).
2. Enter the mail server port into the Email Server Port field.
3. If the SMTP server requires SSL authentication, check the checkbox SSL Required, then enter the SSL Userid and password into their respective fields.
4, Enter the email reply address (sender address) into the Email Reply Address field.
5. Close out of the System Setup window to hold the changes.

If you are unable to enter your SMTP details, please make sure the option Use VRF Mail is unchecked.

Using SQL DBMail

Email notifications are sent from the SQL Server Database Engine. This requires the SQL DB mail feature to be installed and configured. Please see here for further instructions.
