Reception Bell - An Overview

The Reception Bell is a VisitorRego feature designed for situations where a reception area may be unattended. It provides an easy way for people at a VisitorRego unit to request assistance, notify staff of their arrival, or announce a delivery.

When the Reception Bell button on the welcome screen is pressed, VisitorRego sends an alert to selected staff via email, SMS, or both, depending on your configuration. The notification lets staff know that someone is waiting at reception and can include a message such as “Someone is at Reception.”

This feature is commonly used in unattended receptions, delivery and courier drop-off points, contractor or visitor entry areas, and other access points where staff may not always be present. By using the Reception Bell, people arriving at your site can easily get the attention of staff without needing direct access to a phone or intercom.






How the Reception Bell Works

Once the Reception Bell is enabled and set up, the process works as follows:

  1. Button press
    A person at the reception area taps the Reception Bell button on the Welcome screen.
  2. On-screen confirmation
    A message appears confirming that the request has been sent, for example:
    "An email and text message have been sent asking for reception assistance".
    The person can then tap OK to continue, or the message will time out and close on its own.
  3. Notification sent
    At the same time, VisitorRego sends the same message via email and/or SMS to the designated staff, depending on the setup.
  4. Staff response
    Staff receive the notification and can then attend to the reception area or handle the delivery or request.





Setting Up the Reception Bell

Setting up the Reception Bell involves three key stages, each managed through VisitorRego’s Admin mode. Completing all three ensures that the button displays correctly, functions as intended, and sends notifications to the right staff members.

  1. Enable the Reception Bell and select the button graphic
    This step activates the Reception Bell feature and sets the image that appears on the welcome screen.

  2. Position and resize the button area
    Define the touchable area on the screen where people can tap to activate the Reception Bell.

  3. Set which staff are to be notified
    Choose who will receive an email and/or SMS when the button is pressed.
