Hazard Reports

VisitorRego’s Hazard Report feature enables anyone who signs in to report hazards when they sign out. This ensures that safety concerns are promptly documented and addressed. This article provides instructions on how to report hazards during sign-out, how Site Administrators can view these reports in the VR Portal, and how to enable the Hazard Report feature.

Reporting a Hazard When Signing Out


1. When signing out at a VisitorRego unit, a notification box will appear in the top left corner of the screen confirming your sign-out along with the date and time. Press the 'Notes / Report Hazard' button in this box to start reporting a hazard.



2. A window will open prompting you to enter details of any hazards you noticed or comments you have. Use the text input field and the on-screen keyboard to type your message.



3. Once you’ve entered your details, click the 'Send - Thank You' button to submit your hazard report.

4. A confirmation message will be displayed, indicating that your feedback has been received and that an email has been sent to site management. Click the 'Thanks' button to close the message.



Viewing Hazard Reports in VR Portal


When a hazard report is submitted, an email notification is sent to all Site Administrators associated with the site. This email includes the registration details of the person who reported the hazard along with the content of their hazard report.

In addition to receiving email notifications, you can view hazard report details directly through VR Portal. On the Sign-Ins by Workflow page, hazard reports will be listed in the 'Note' column for each registration.

To view hazard reports in VR Portal, follow the instructions below:

1. Using your web browser, navigate to website https://p.visitorrego.com/ and log into VR Portal.
2. Hover over Register   in the navigation menu on the left.
3. Click on Sign-Ins by Workflow in the Register menu.
4. To view sign-in's that occurred within a certain time frame, use the date range pickers which are found near the top of the page above the column headers.

The details of people who registered, along with any reported hazards, can be viewed directly on the Sign-Ins by Workflow page. Hazard reports will be displayed in the 'Note' column for each registration.



5. To view detailed information for a specific registration, click on the person's name to bring up the sign-in details window, which will display all the information, including the hazard report message.

Enabling the Hazard Report Function


1. To enable the Hazard Report function, from VisitorRego's Admin mode, select Options> Messaging tab, then expand the Sign Out section.



2. Check the checkbox Report Hazard.
3. Close out of the System Setup window to hold the changes.
4. From the navigation bar select File > Self Registration to toggle back into Self-Registration mode.
