Self Registration - An Overview

VisitorRego provides a seamless Self-Registration experience, allowing visitors to easily register themselves at your VisitorRego unit. This reduces the workload on your reception staff while maintaining accurate, up-to-date visitor records.

Health and Safety information is presented clearly and prominently, ensuring visitors acknowledge the latest company policies before proceeding. This content can be easily updated to stay relevant for both your visitors and your organisation.

VisitorRego captures the information entered by the visitor, such as their name, company, and contact number, along with accurately logged sign-in and sign-out times.

What a First-Time Visitor Sees


When a visitor approaches the VisitorRego unit, they’re greeted with a Welcome screen inviting them to begin the registration process by touching the screen.



They’re then presented with the Self-Registration screen, where they can enter their details using the on-screen keyboard.

Returning visitors enter their first and last names, and the rest of their information is recalled and automatically populated. This expedites the registration process for your regular visitors. They are also able to edit the information to keep their details current.


Once the visitor has entered all required details, they tap the ‘Press to Register’ button to submit their information and proceed.

If your VisitorRego unit is set up with multiple workflows, the visitor is then prompted to select their registration category (e.g. Visitor or Contractor). This ensures they are shown the correct set of Health & Safety slides based on their selection.



Health & Safety Acknowledgement


After tapping the ‘Press to Register’ button and completing the workflow selection (if applicable), visitors are presented with your company’s Health & Safety information. This content is clearly displayed, branded with your organisation’s logo, and may include important details such as PPE requirements, hazard awareness, site-specific instructions, or emergency procedures.

If multiple Health & Safety slides are configured, visitors can navigate through them using the ‘Next’ button until all content has been reviewed.

To complete the registration process, the visitor must tap ‘Press to acknowledge these health and safety requirements’, confirming they have read and accepted the information.



Label Printing and Sign-Out


After acknowledgement, VisitorRego sends a print job to the label printer. A visitor label is printed with a unique QR code that links to their registration record.



When it’s time to leave, the visitor can simply scan their label’s barcode to sign out quickly and easily.



VisitorRego confirms their sign-out, completing the process.



Taking it Further


Once you're comfortable with the basic self-registration flow, VisitorRego offers a range of additional features to further enhance your visitor management experience, including:

  • Sending email or SMS notifications to the staff member the visitor is here to see

  • Capturing a photo of the visitor during sign-in, with images included in arrival notifications and visible in VR Portal reports

  • Using QR codes to speed up sign-in and sign-out for frequent visitors

  • Notifying staff of arrivals or courier deliveries when reception is unattended, using the Reception Bell feature
