Registering a Workstation
Each workstation running VisitorRego must be registered to operate. Registration ensures the workstation is licensed, authorised to run the software, and correctly linked to the appropriate site in VR Portal. This process effectively provides the workstation with a valid subscription, allowing it to connect and synchronise data with its VR Portal site.
Registration and subscription updates are managed from the VisitorRego side and then synchronise with the software so the workstation recognises the change. In most cases, this is completed during the initial setup. This article provides instructions for customers who need to register a workstation that has an active internet connection and can reach the VR Portal server, but has not yet been registered for a site. This typically applies to new installs, rebuilds, or replacement machines.
You may see a message indicating that your subscription has expired or is about to expire.

Workstation Not Registered Message
When you launch VisitorRego on an unregistered workstation, a popup message will appear stating Workstation Not Registered and displaying a unique Workstation ID.
The Workstation ID is a unique identifier automatically generated by the VisitorRego software for each individual workstation. It allows VisitorRego Support to register the workstation to the correct site in VR Portal and ensures that data synchronises correctly with that site.
Record the Workstation ID by copying it, writing it down, or capturing it in a screenshot or photo to provide to VisitorRego Support.
Sending Details to VisitorRego Support
Once you have the Workstation ID, send it to VisitorRego Support along with the following details:
• Company name (e.g., KiwiTech Solutions)
• Site name (e.g., Albany)
VisitorRego Support will register the workstation against the correct site. They will confirm once the registration has been completed.
After receiving confirmation, restart the VisitorRego software on the workstation so it recognises the registration.
Alternative Ways to Find the Workstation ID
If the Workstation Not Registered message is not visible, you can locate the Workstation ID using either of the following methods:
From VisitorRego’s Admin mode, select Help > About. The Workstation ID will be displayed in the About window.

From VisitorRego’s Admin mode, select Options > Internet VRF tab, then expand the VR Facilities section. The Workstation ID is listed there as well.
Once you’ve located the Workstation ID, you can copy the text or take a screenshot to include in your support request.
