Setting up Workflows

Workflows allows you to: 

  1. Ask people which category they belong to
  2. Show specific health and safety information to each group
  3. Print a specific label for each group
  4. Require which groups need Permits as authority to be on site

Two Workflows are available on the Essential tier

Up to 5 Workflows are available on the Premium and Enterprise tiers.


To navigate to the Workflows tab open Admin Mode. Go to Options > Workflows


Turn On Feature: When this is ticked the Workflow function is enabled


Ask Every time: When this is ticked people are asked which category they belong to each time they register. If this is unticked their first selection is remembered and they are shown the category health and safety induction or summary.


Workflow Screen: This screen is displayed after the self-registration screen. It is a customisable .jpg image that is stored in the Res folder. This screen should have buttons which match each category. The button function is enabled by a hotspot that is set over the top of the button image. This allows for the buttons to be any design, size, shape and layout.













Acknowledgement Days: When there is a summary version of the health and safety this is shown for the number of the days specified here. After the set number of days has passed the full version is automatically shown.


Setting up Workflow Categories

Click on one of the 5 coloured boxes on the right. A pop up box will open for each one.



Set Hotspot #: This creates a hotspot on the Workflow screen that relates to the category

Permits: Ticking this box will require people to have specific Permits to come on site. This function is part of the Facilities and 
Aged Care software tiers. The video below shows the registration process when Permits are required for contractors.

 


Category: This is the name of the Workflow Category and will be displayed on the Today+ screen in the VR Portal for reporting. 


Induction Template: This is the health and safety information that will be displayed to this category. This article has information about setting up the graphics.

Click Open to view the graphic files, or the … button to open Explorer and select a file to display.


Summary Induction: This can be a shorter or different version of the health and safety information. This will displayed for the number of months specified in the Expire Induction field. After this time passes the Induction Template graphics will automatically be displayed again.  

Label: This is the label that will be printed and is specific to this Category.

Expire Induction: Number of months from today when the induction expires and access is denied. 


Left, Top and Width, Height: this is the setting for the hotspot. You can also set this using a mouse with Logging turned on. Contact Support for help with this.
