Self Registration Fields Setup

As different companies require different sets of information from their visitors, VisitorRego has the ability to change what fields it displays on the Self-Registration screen.

These fields can be configured on the Self Registration Fields window.

From 
Admin mode choose Options> Site Defaults tab> Self Registration Fields button.



The Self Registration Fields window will open to show the following:


 



Self Registration Fields Table Columns

Please see below for information on what each of the columns in the Self Registration Fields table represent.


DatabaseField
The name of the database field. It doesn't matter what the Self-Registration field label is - the on screen field maps to this database field. This field can't be changed.

Field Label
The label of the field as it appears on the Self-Registration screen. This label can be renamed as required.

Visible
Specifies whether the field is visible on the Registration Screen or not. When checked, the field will appear on the Self-Registration screen.

Required

Specifies whether the field is a required field on the Self-Registration Screen or not. When checked, the field will become mandatory.

Remember
Specifies whether information entered into the field from previous registrations is remembered or not. When checked, information will be remembered each time.
Only 'Free Fields' have the option to disable the remember checkbox (i.e. Field1, Field2..).

Tab Order
Allows you to set which order the Self-Registration fields will appear in.

Tips
Tip's that appears in the status bar on the bottom of the Registration Screen.


Self Registration Fields DatabaseFields

The column DatabaseField is the database field where the data is stored. This name can not be changed. i.e. You can label the DatabaseField 'Vehicle' to 'Car Registration'. This field will now appear on the screen as 'Car Registration' and the data entered into this field is stored in the database field 'Vehicle'.

For the fields you make available, you can specify where they appear and what they are labelled on the Self-Registration screen.

Please see below for information on what each of the DatabaseFields represent. Depending on your requirements, you can include or exclude them.


RegisterName
This is the first and last name of the visitor. This field is mandatory. There is a lot of back end processing surrounding this field - specifically if the name can be found in the database then those details are retrieved from the database and displayed. When a visitor label is printed, these details are updated.

Company
The visitors company. Many visitors all belong to the same company.

Phone
The visitors phone number. In the case of an emergency they can then be contacted.

Vehicle
The identity of the visitors vehicle, typically the car registration. Used to manage visitor parking.

MeetingWith
This is the name of the staff member. There is a lot of back end processing surrounding this field. The staff member can have their own label template. The staff member can be notified by email or SMS to let them know that their guest has arrived.

RequireAssistance
The Enables a toggle on the Self-Registration screen that allows the visitor to flag themselves as requiring assistance in an emergency. In the case of an emergency, a report can be run to see all visitors onsite. Anyone who requires assistance will be flagged on the emergency report.



Acknowledged
The date that the visitor has signed a non disclosure agreement. This date is entered manually after the document is signed. When the visitor registers (the field is visible) the following description is added to the database field 'SpecialInstructions'. This field can be printed on the visitor label. The values entered into 'Acknowledged' result in the following description in the database field 'SpecialInstructions'

Acknowledged = Date = "Registered"
Acknowledged = nothing = nothing
Acknowledged = Text = text entered into Acknowledged

DateHealthSafety
This the date that the visitor last viewed the Health and Safety rules. Each time a visitor self registers they can be shown the Health and Safety rules. This date is recorded with the personal details of the visitor. 

SafetyInduction
The date the visitor (usually a sub contractor) has attended a full safety induction. This date is entered manually after the course. When the visitor registers (the field is visible) the following description is added to the database field 'SpecialInstructions'. This field can be printed on the visitor label. The values entered into 'SafetyInduction' result in the following description in the database field 'SpecialInstructions'

SafetyInduction = Date >= Now = "Safety Induced mm/yy"
SafetyInduction = Date <   Now = "Safety EXPIRED mm/yy"
SafetyInduction = nothing          = "No Safety Induction"
SafetyInduction = Text              = text entered into SafetyInduction

Delivery Address
The delivery address of the visitor. VisitorRego.NET can be used for much more than just registering visitors and becomes a valuable contact database source for the company.

ExpireAccess
Access can be given for extended periods - typically a subcontractor that is on site for a number of days. The visitor label can be adhered to a plastic card and the subcontractor can use this card to sign in and out. This is the date that this card/label will stop working and the visitor will either need a new card issued or sign in as a visitor. 

PostalAddress
The postal address of the visitor. VisitorRego.NET can be used for much more than just registering visitors and becomes a valuable contact database source for the company.

QuizResult
The result of the H&S quiz.

Email
The email address of the visitor. VisitorRego.NET can be used for much more than just registering visitors and becomes a valuable contact database source for the company.

MeetingLocation
The default location where the staff member meets with their guests. This default value is determined by the department that the staff member belongs to.

PersonalID
Use this field to capture personal ID such as drivers license or passport.

HealthSafetyViewed
This the date that the visitor last viewed the Health and Safety video. Each time a visitor self registers they can be shown the Health and Safety video. This date is recorded with the personal details of the visitor.

Category
The category relates to the visitor/contractor workflows and is not visible when checked. Workflows can be setup on the Workflow tab of System Setup.

Display ID
Allows visitors to sign in/out using their display ID.

Field1
This field is available for any other data you require.

Field2
This field is available for any other data you require.

Field3
This field is available for any other data you require.

Field4
This field is available for any other data you require.

Field5
This field is available for any other data you require.

Field6
This field is available for any other data you require.

Field7
This field is available for any other data you require.

Field8
This field is available for any other data you require.

Field9
This field is available for any other data you require.

Field10
This field is available for any other data you require.
