Issuing a Pass

The Issue Pass function allows you to issue a reusable label for someone signing in. Once issued, the label can be scanned to sign in and out multiple times until the specified expiry date.

This is useful for anyone who will be visiting the site regularly over a period of time.

Unlike a standard sign-in label (which is typically used once), a pass remains valid until the expiry date, allowing quick and repeated sign-ins and outs during that period.

How to Issue a Pass in VisitorRego


Alert
A pass can only be issued to someone who is already signed in. If they are not signed in, have them sign in first.

1. From VisitorRego’s Admin mode, select Signed In to open the Signed In window.

The Signed In window displays all people that are currently signed in, who they are visiting, the time they signed in and a unique visitor ID.

2. At the bottom-right of the Signed In window, locate the Default Expire On Date control. It displays the currently selected expiry date with a dropdown arrow next to it.



3. Select the dropdown arrow to open the calendar picker.

Use the back and forward arrows at the top of the calendar to move between months and years.

4. Select the day the pass should expire. The selected date will appear in the Default Expire On Date control.

The expiry date for the pass is now set.

5. In the Signed In window, locate the person you want to issue a pass to.

6. In their row, locate the Issue button on the right-hand side (next to Reprint and Email), then select Issue.

A confirmation message will appear showing the person’s name and the expiry date for the pass.



7. Select OK to confirm.

8. Close the Signed In window.

9. Reopen the Signed In window.

The person’s ID will now have changed to begin with PID, indicating that a pass has been issued.

10. In the person’s row, locate the Reprint button on the right-hand side, then select Reprint.

A new label will be printed. This is the pass label that should be used for future sign-ins and sign-outs until the expiry date.



Other Quick Sign-In Options


The Issue Pass function allows you to issue a reusable label with a set expiry date. VisitorRego also includes other quick sign-in options that support repeat sign-ins in different ways:

Personal IDs – Assign a unique QR code or barcode to a person, allowing them to sign in and out quickly using the same code each time. This can be linked to existing cards or VisitorRego QR tags.

Day Pass – Allows a standard label to be reused for sign-in and sign-out within the same day it was issued, without needing to issue a pass.

Contractor Labels – Labels printed for people signing in under a contractor workflow are automatically reusable for sign-in and sign-out.
