VisitorRego is a complete system for managing visitors and contractors, as well as other types of people who may be accessing your site. 

When the system is delivered, it is typically already pre-configured with your company-specific branding and settings.

Getting started is as simple as plugging it in and powering it on. The software will launch in Admin Mode, allowing you to access Windows if needed to connect the system to the internet. VisitorRego support will then finalise the configuration remotely as part of the installation, after which the system will launch directly into Self-Registration Mode and display your company’s Welcome screen.



People can then use the touchscreen to register their arrival. At the Welcome screen, they touch the screen to proceed to the Self-Registration screen, where they enter their personal details and select who they are there to meet.



After entering their information and pressing the Register button, people are either taken to a workflow selection screen (if multiple workflows are available) or directly to the relevant health and safety information (if only one workflow is configured). When the workflow selection screen is shown, they choose the category that applies to them (for example, visitor, contractor, or staff).
In either case, the relevant health and safety information for the selected or pre-assigned category is displayed. This information can span multiple screens and is fully customisable, and all people must acknowledge that they have read and understood it before proceeding.



After acknowledging the health and safety information, a label is printed. This label should be carried while onsite and clearly identifies the person who registered.



At the same time, a notification is sent to the staff member they are meeting with via email, SMS, or both, to let them know the person has arrived.



The registration is also recorded in VR Portal, ensuring that the arrival is logged and all relevant information is captured.



When it comes time to leave the site, people sign out by scanning the QR code on their label using the VisitorRego unit’s scanner.

If they no longer have their label, they can sign out manually by entering their first and last name into the Name field and either pressing the Enter key or tapping into another field to complete the sign-out process.

If someone forgets to sign out or does not sign out, VisitorRego’s automatic sign-out feature will sign them out after a set number of hours onsite. This time period can be adjusted to suit your site’s specific requirements.


All registration activity is captured in VR Portal, the web-based counterpart to VisitorRego, providing a complete record of everyone who has accessed your site. This data can be reviewed, searched, and managed as needed to help track site activity and maintain accurate records. The VR Portal is also where you can perform maintenance tasks, such as updating your staff list.
